Location: Remote(most locations in the United States)

Type: Full Time

Annual Salary: $52,000 – $62,400

Total Compensation Package:

  • 5% defined contribution to 401k after one year (not a match)

  • $3,000 annual healthcare cost reimbursement (tax-free)

  • Four weeks of PTO plus 12 paid holidays

  • 48 hours of sick time

  • Compensation for overtime hours

  • Home office and technology reimbursement

  • Merit-based bonus opportunities

  • Optional Alternate Work Schedule, allowing eligible employees to work a four-day work week every other week

The Opportunity

We’re seeking a Project Associate to serve as the entry point into our project delivery team, supporting impactful work that helps small businesses thrive. This role is designed for early-career candidates who are eager to grow – don’t worry about specific industry expertise, we’ll teach you the content. Working within our tight-knit team of over 25 professionals, you’ll gain hands-on experience across client support, project coordination, and content development, with close mentorship from experienced leaders and regular access to senior and executive leadership.

What You’ll Do:

  • Execute assigned project tasks — administrative coordination, scheduling, and operational logistics — while building ownership habits like task planning, progress tracking, and proactive issue-flagging

  • Produce and prepare project materials and content — proofreading, formatting, and updating guides, decks, reports, AI-assisted recordings, and web updates — to ensure brand consistency and quality

  • Support provider and client tracking systems, helping triage small business owners through training and service pipelines

  • Conduct research and data collection that informs client and project work

  • Learn to deliver business coaching and technical assistance to small business owners using the Civitas Strategies model, with mentorship from experienced team members

What Makes You a Great Fit:

  • 0–2 years of administrative, operations, project coordination, or related experience; recent graduates and early-career candidates encouraged to apply

  • Natural curiosity and a genuine interest in supporting small businesses and communities

  • Strong written and verbal communication, with the ability to manage multiple priorities and maintain attention to detail (bonus: experience presenting to external audiences through coursework, internships, or early roles)

  • Analytical mindset and basic problem-solving — willing to dig into data, research, and new information

  • Proficiency with remote collaboration tools (Microsoft Office, Zoom)

  • Bachelor’s degree or equivalent well-rounded experience

Schedule: Set schedule of 40 hours a week, regular business hours Monday-Friday with some evening work offered as needed. Alternate Work Schedule: 80 hours across 9 work days (M-F;M-Th) with every other Friday off with some evening work offered as needed.

This role offers hands-on experience in social impact work, building skills that align individual strengths and interests with our strategic priorities, creating a clear path for meaningful professional development. Don't worry about specific industry expertise – we'll teach you the content. Working within our tight-knit team of over 25 professionals, you'll directly shape how we deliver value to small businesses while having regular access to senior and executive leadership.

What You'll Do

  • Learn to lead components of innovative projects focused on service development and capacity building to strengthen small businesses

  • Produce and ensure timely delivery of high-quality presentations, reports, analyses, and project documentation — aligned with client goals, timelines, and brand standards

  • Support and foster client relationships through consistent communication and responsive assistance

  • Contribute to business development and client engagement, identifying opportunities for impact

  • Begin developing team leadership and project management skills, building the foundation for increased responsibilities over time

What Makes You a Great Fit:

  • 1–3 years of administrative, operations, and/or project coordination experience

  • Excellence in written and verbal communication, including experience engaging external audiences through client presentations, sales communications, training facilitation, or public speaking

  • Strong analytical and creative problem-solving, with natural curiosity and eagerness to learn

  • Proven ability to manage multiple priorities while maintaining attention to detail

  • Proficiency with remote collaboration tools (Microsoft Office, Zoom)

  • Bachelor's degree or equivalent well-rounded experience; Spanish fluency or coding abilities are a plus
